Administrative Assistant Job Description

General Function

The Administrative Assistant is responsible for answering and directing phone calls from staff, clinicians, and patients. Performs light typing; copying and correlating; filing and maintenance of medical records.

Essential Job Functions

  • Organizes, coordinates, and directs the ongoing clinical operations of the agency

  • Assist the administrative and clinical staff with clerical duties, including typing correspondence and data entry

  • Maintain appropriate medical records in accordance with organizations policy on medical record maintenance

  • Review medical documentation for completeness and legibility

  • File medical correspondence in appropriate medical records

  • Maintain medical records and process information request for patients and clinicians in accordance with HIPPA Regulations

  • Communicate with the general public and clinical staff via the telephone

  • Proper telephone etiquette required

  • Correlate and copy needed correspondence as requested

  • Sort, correlate, and distribute all incoming mail

  • File appropriate correspondence in patient files

  • Process request from staff and patients for information

Qualifications

  • Current unrestricted nursing license in MBON OR an administrative degree

  • Education: Graduation form an accredited Nursing Program or an administrative Baccalaureate degree

  • Experience: One year previous office experience

  • Current CPR Certification

  • Interpersonal skills: Excellent oral and written communication skills

  • Three references: two professional, one character

  • Criminal background check

  • Health Clearance- Annual Physical exam, PPD or chest x-ray, and Hep B clearance
